Glossary
- Project: a place to keep related chats together, with the same settings and instructions.
- Prompt source: where your Project's instructions come from: create from scratch or use a shared prompt.
- Project prompt (editable), instructions you write for this Project. You can edit them independently for each Project.
- Shared prompt (read-only), instructions shared by your Organisation. The Project uses them, but you edit at the source.
What is a Project?
A Project is where you work on a specific topic with a specific configuration. The main part of that configuration is the Project's instructions (its prompt), which guide how the assistant behaves in new chats within that Project.
Use the Project's prompt to encode:
- Role / tone: e.g. "act as a support agent".
- Constraints: e.g. "be concise; ask before taking actions".
- Workflow defaults: e.g. "always return JSON".
Prompt source options
Each Project uses exactly one prompt source.
Option 1: Create from scratch
- Write instructions directly in the Project.
- Change them anytime in that Project.
- Project prompt is editable.
Option 2: Use shared prompt
- Select a shared prompt from your Organisation.
- Project shows which shared prompt it uses.
- Linked, read-only.

An Organisation is the shared workspace boundary for access, billing, and shared configuration. A key Organisation feature is shared prompts: an organisation-wide library of prompts your team can reuse across Projects.

- Create from scratch: start with a Project prompt.
- Refine: work with it until it reliably produces what you want.
- Share: create a shared prompt in your Organisation.
- Link: connect other Projects to the shared prompt.
Quick start: create from scratch
- Create a new Project.
- In Prompt source, choose Create from scratch.
- Write your Project prompt.
- Start chatting in that Project.
Frequently asked questions
What happens when a shared prompt gets updated?
If you update a shared prompt at the source, all Projects linked to it will use the updated instructions automatically.
If a Project needs to diverge, switch its Prompt source back to Create from scratch, then edit locally.
Why can't projects using shared prompts be nested?
Nested projects would make it difficult to reason about which instructions apply, as the relationship between multiple layers of prompts would become complex.
How do I publish a refined prompt as a shared prompt?
- Go to account.greenpt.ai → Shared prompts.
- Create a new shared prompt and paste your refined instructions.
- Tell colleagues the name so they can select it in their Projects.
